THE SHORT ANSWER

Choose Fireflies by the capture, retention and handover your team needs. Free can support evaluation; Pro expands exports, integrations and storage; Business adds conversation intelligence and team analytics.

Fireflies plans combine meeting capture with different storage, collaboration and analysis features. The important buying decision is therefore not simply how many meetings appear on a calendar. A sales team retaining a long customer history has a different requirement from a freelancer producing a short recap and exporting the result.

This guide uses the official pricing and help documentation reviewed on 14 October 2026. It explains which allowances describe retained material, which describe processing and where a plan’s feature boundary can matter. It does not claim a hands-on transcription accuracy test or promise that a listed price will remain unchanged.

Read the per-seat prices and billing periods

The pricing page lists Free at US$0, Pro at US$18 per seat month to month and Business at US$29 per seat month to month. Annual monthly equivalents are US$10 for Pro and US$19 for Business. Enterprise lists US$39 per seat per month, billed annually. Check the actual seat requirement and checkout before calculating the team total.

Current planRetained storageA useful buying question
Free400 minutes per teamCan a small pilot fit the storage and eligible capture rules?
Pro8,000 minutes per seatDo exports, integrations and longer retention support the handover?
BusinessUnlimitedDoes the team need conversation intelligence and analytics?

An annual equivalent is a budgeting reference for an annual commitment. Multiply by the relevant paid seats and confirm the billing period rather than treating the displayed equivalent as a one-month invoice. Tax, currency and any separately metered use should be checked in the actual purchase flow.

Keep storage separate from transcription volume

Storage describes the meeting material retained in the workspace. It does not mean a Free team can transcribe only 400 minutes every month, or that Pro gives 8,000 new minutes every month. Thinking of it as a shelf rather than a monthly production allowance makes the distinction easier to manage.

For a hypothetical consultant, eight one-hour client calls add roughly eight hours of source material to the retained collection if all are kept. That example illustrates the storage question only; it is not a claim about Fireflies’ complete processing or billing calculation. Decide how long the business needs the original meeting material and what should be exported into the project record.

The upload limit is source-specific: 3,000 minutes per user per month for each external source, scaled for teams up to a 150,000-minute source cap. Live notetaker meetings, Google Meet Chrome-extension capture and mobile recordings are excluded from this listed limit. Keep upload processing separate from retained storage and calendar capture.

Check the Free plan’s capture conditions

For newer accounts covered by the September 2026 rules, Free transcription credits depend on signup route: three through the web app, five through the Chrome extension and ten for new mobile-app users. The documented auto-join setting can unlock unlimited eligible transcription, while summary-credit treatment remains separate. Check the actual route before planning the pilot.

Read those conditions before promising a team that every meeting will be captured under a free account. Decide whether auto-join fits the organization’s meeting practice, and check that the intended meeting types qualify. The correct setting is an operational choice involving attendees and the calendar, not merely a way to maximize a subscription label.

A useful Free pilot should test a complete cycle: capture a representative meeting, find a specific detail, review the summary, produce a recap and retain or export the result as required. If a needed handover feature is outside Free, that is a meaningful reason to consider Pro even when meeting volume is small.

Choose Pro for a stronger handover

The current Pro feature set includes exports and integrations alongside its larger retained storage allowance. Those features matter when meeting notes must leave the assistant and become client recaps, project tasks or records in another business system. Check the exact destination and export format rather than relying on a broad integration count.

For a small agency, the useful question might be whether approved actions can reach its existing project workflow with enough context and without duplicate tasks. A Pro subscription can be sensible if that removes repeated copying and preserves a reviewable meeting reference. Evaluate the workflow from meeting end to accepted task, not just the generated summary.

Include everyone who needs paid access in the estimate. Decide who reviews, shares and administers the workspace, and confirm their actual roles. A shared login is a weak substitute for a defined team setup and makes ownership of client material harder to manage.

Consider Business for team-level analysis

Business adds conversation intelligence and team analytics in the current pricing comparison. Those capabilities are more relevant when a team has a repeatable meeting process and a clear question to investigate, such as patterns in customer conversations. They are less compelling when no one has time to use the analysis.

Define the decision an analysis should support. A sales manager might review recurring objections and improve a training session. A service lead might examine which questions keep returning. Establish an appropriate review process and explain the use to the people involved. A dashboard is most useful when its findings lead to a specific operational improvement.

Include AI use, retention and review time in the budget

Transcription, retained storage and AI interactions are distinct concepts. Check the current AI credit treatment for AskFred and any other repeated analysis you plan to use. Do not assume that unlimited retained storage also means unlimited use of every AI feature.

Measure the time spent approving summaries and correcting consequential details. A subscription that creates useful first drafts can still require human review of names, dates and commitments. Keep that work visible in the comparison so the decision reflects the complete cost of a reliable recap.

Start with the lowest tier that completes the actual workflow, then revisit it after representative meetings. Move to Pro when exports, integrations or retained capacity solve the problem. Move to Business when its team analysis has an owner and a defined use. That produces a plan decision the business can explain at renewal, with allowances matched to work rather than to a headline.
