For dedicated business email, start by evaluating Fastmail Standard. Choose Workspace when your team needs shared office tools, Namecheap Launch for a modest mailbox budget, or a locally quoted Zoho Mail tier when its limits fit. Count independent inboxes and keep newsletters, taxes and domain registration separate.

Start with the people who need independent mailboxes. An address such as hello@yourdomain can be an alias delivered to one person, a shared mailbox with controlled access, or a separate account. Those choices have different costs and responsibilities. Newsletter software sends campaigns to an audience; it does not replace staff inboxes.
For a small team centred on dedicated email, start by evaluating Fastmail Standard. Shortlist Google Workspace when shared documents and meetings justify a wider suite, Namecheap Private Email Launch when a small mailbox budget leads the decision, and Zoho Mail when you want a mailbox-focused plan with the right local subscription terms. No provider wins every row. The references below were checked on 9 October 2026; we did not purchase these services or test their delivery or migration performance.
Choose by the work your team needs
| Option | Choose it for | Check before paying | Skip it when |
|---|---|---|---|
| Fastmail Business Standard | A dedicated email, calendar and contacts service without buying a document suite | Independent users, required mail apps, storage and annual prepayment | Your main requirement is a shared office-document workflow |
| Google Workspace Business Starter | Business email together with shared documents, calendars and meetings | Each licensed person, pooled storage, collaboration permissions and annual commitment | You only need a mailbox and will not use the wider suite |
| Namecheap Private Email Launch | A small number of straightforward domain mailboxes with separately priced additions | Mailboxes beyond the included one, per-mailbox capacity and normal annual price | Your storage or team-management requirements exceed the selected package |
| Zoho Mail Lite | A mailbox-focused service when its paid tier, region and access requirements fit | Storage tier, annual-only billing, mailbox sharing and the actual billing-country quote | You require a free tier to include IMAP/POP/ActiveSync or need monthly billing on an annual-only tier |
Count mailboxes separately from aliases and shared addresses
| Plan | Storage reference | Aliases and sharing | Important boundary |
|---|---|---|---|
| Workspace Starter | 30 GB pooled storage per licensed user | Up to 30 aliases for a user; each points to the existing account | Pooled capacity does not mean every user receives a separate storage silo |
| Fastmail Standard | 50 GB for mail/calendar/contacts plus 10 GB for files per person | Aliases use account quotas; confirm the required shared-address workflow | Basic by itself is not the same custom-domain arrangement: custom-domain use requires at least one Standard or Professional user on the account |
| Namecheap Launch | 5 GB per mailbox | 10 aliases per mailbox; extra independent mailboxes add cost | The package includes one mailbox, rather than an unlimited staff allowance |
| Zoho Mail Lite | 5 GB or 10 GB, depending on the selected tier | 29 aliases beyond the primary address; shared-mailbox conditions depend on the paid plan | Do not infer paid-tier access or mailbox sharing from the limited free offering |
A three-person example needs three independent logins if each person must control their own inbox and recovery. Adding sales@ as an alias does not add a fourth login or independent storage. Decide who may read and reply to a shared address, how access is removed when somebody leaves, and who can recover the domain and administrator account. Business email without a website explains why a website purchase is optional.
Compare 12-month cost for 1, 3 and 10 people
Compare the 12-month cost before tax and domain registration for the same number of independent mailboxes. Workspace shows an annual commitment; Fastmail shows a prepaid year; Namecheap includes one mailbox plus paid additions. All figures below use USD references.
| Plan and reference | 1 person | 3 people | 10 people | Billing basis |
|---|---|---|---|---|
| Google Workspace Business Starter (USD) | USD 84.00 | USD 252.00 | USD 840.00 | Annual commitment |
| Fastmail Business Standard (USD, US) | USD 60.00 | USD 180.00 | USD 600.00 | 12 months prepaid |
| Namecheap Private Email Launch (USD) | USD 14.88 | USD 32.64 | USD 94.80 | One mailbox plus annual additions |
Workspace’s annual figure is a commitment calculation: multiply the documented monthly rate by 12 and by licensed people. An annual commitment can be paid monthly under documented arrangements; the full annual obligation is not universally collected on day one. A flexible monthly subscription has different pricing and cancellation terms, so request that quote separately if flexibility matters.
Fastmail Standard’s row uses a 12-month prepaid reference for every person. Mixing Standard with Basic can reduce the cash total while changing storage and app access; it is not the same product configuration as Standard for the whole team. Namecheap’s row uses one included Launch mailbox plus the documented annual charge for each extra mailbox. Its standard annual rate is separate from a trial or new-order promotion.
Zoho Mail Lite’s local price depends on the billing country, storage tier and term. Compare a matching regional quote before choosing it.
Plan the move before changing MX
- Keep owner-controlled access to the domain registrar, DNS and existing mail accounts. Record the current MX, SPF, DKIM and DMARC configuration and every service that sends mail for the domain.
- Create the destination users and required shared addresses first. Check the chosen provider’s import prerequisites for your actual source, including account permissions and any supported authentication method.
- Make a retained export or other owner-controlled copy of the mail you need. Confirm how folders, contacts and calendars are handled; an email import does not prove that every other data type moves.
- Schedule the DNS change, follow the new provider’s domain-specific instructions and retain old access until incoming mail, outgoing replies, recovery and required addresses have been checked.
- Verify the result with accounts you control. Avoid cancelling the old service merely because the new inbox opens.
Google’s Data Import preparation, Zoho’s IMAP migration, Fastmail’s documented Gmail import and Namecheap’s client-assisted transfer describe different paths. None was exercised for this guide. Read how to connect a domain without breaking email and SPF, DKIM and DMARC for a small business before planning changes.
Keep newsletters in a separate decision
MailerLite and other campaign tools can manage a consenting audience, signup forms and scheduled marketing messages. They do not give each employee a normal business mailbox. Count subscribers, send volume and automations in a separate budget when a newsletter has a defined job. Email hosting versus email marketing explains the distinction, and the first-newsletter workflow covers the campaign setup.
A hosting package that includes email for an initial period is another configuration to verify. Check later mailbox charges and the ability to move mail independently of the website; do not buy unnecessary hosting solely to make an inbox appear free. Domain email versus a hosting bundle covers that tradeoff.
Make a decision you can maintain
For a team centred on email, start by comparing Fastmail Standard’s prepaid arrangement with a locally quoted Zoho Mail tier. For a team collaborating across documents and meetings, check Workspace’s complete licensed-user commitment. For one person with modest mailbox needs and a smaller budget, check whether Launch’s capacity and recovery controls fit. Across all four, confirm who controls recovery, what happens to a departing colleague’s mail, how you export data, and which bill is due now.
These recommendations follow the documented fit and limits. They are not deliverability scores, service ratings, firsthand migration findings or commission rankings. Recheck the official plan and complete bill before paying.
